1. Introduction

ProgressFlow is an application that allows users to build and customize tracking flows for habits, routines, and personal goals. Users can log entries, monitor their progress, review summaries of their activity, and manage multiple routines in one place. This privacy policy explains what personal information we collect and how we use it.

We collect and process your data based on your consent and for the legitimate purpose of improving the ProgressFlow app through pilot testing, feature analysis, and user feedback.

2. What Information We Collect

We collect the following types of information:

• Personal identifiers: Name, email address, and profile picture if provided
• Usage data: Actions taken in the app, timestamps, flow interactions, and general engagement patterns. This data helps us understand how users navigate and use the app
• Media inputs: Photos, videos, or audio recordings that you voluntarily upload as part of your tracking activities
• Device metadata: Technical information such as IP address, app version, browser type (if using the web version), operating system, and device type. This information is used only for diagnostics and performance analysis

2.1 Microphone Access & Voice Recordings

ProgressFlow requests access to your device's microphone to enable voice input. When you choose to record your voice, audio is captured temporarily on your device and then sent securely to our transcription services (e.g., OpenAI Whisper API, Google Gemini) to convert your speech into text.

Audio recordings may be stored securely on our servers for a limited period (typically up to 30 days) to support accurate transcription, troubleshooting, and improvements to our voice features, after which they are automatically deleted. These recordings are never used for advertising or shared with third parties for marketing purposes.

The transcription text generated from your recording becomes part of your regular app data (such as your notes or messages) and is stored in your account according to our normal data retention policy.

Using voice input is always optional, and audio recordings are not stored permanently on your device.

3. How We Use Your Information

We use your information to:

• Provide access to the app and its features
• Contact you with updates about the app or your account
• Improve functionality, usability, and user experience
• Analyze usage patterns to inform product improvements and new feature development

We do not use your information for advertising or promotional purposes.

3.1 Data Retention

We will retain your data for up to 12 months after, for internal analysis and product improvement, unless you request deletion earlier.

3.2 Children's Data

ProgressFlow is not intended for children under the age of 13. We do not knowingly collect personal information from children without parental consent.

4. Who Has Access to Your Information

Only authorized members of the ProgressFlow team have access to your data. We do not sell or share your personal information with third parties for marketing or advertising.

We use third-party service providers (such as Google Cloud Platform and Firebase) to store and manage data. These providers follow industry-standard security practices and maintain confidentiality.

We may use analytics tools (such as Firebase Analytics or Google Analytics) to understand user behavior. These tools may collect anonymized identifiers or cookies but do not gather personally identifiable information.

5. Data Storage and Protection

Your information is stored securely and accessible only by authorized personnel.

We take reasonable precautions, including encryption during transmission, to protect your data.

Your information may be transferred to and stored on servers outside your country of residence, including in the United States. By using our services, you consent to this transfer.
